Reduce junk e-mail-Part II

Filtering out junk e-mail before you get it. You must have Outlook set up to handle your e-mail already.* Similar features are also available in Outlook Express and possibly your software.

You learned about the Junk E-Mail feature for Outlook 98 or higher in the November issue of COPE. Now we'll create a rule that says anything from any address on your Junk Senders List or any item that is suspected of being Junk E-mail (or that contains adult content) is to be automatically deleted from your Inbox

  1. Make sure you have already turned on the Junk E-mail feature (see the November issue).

  2. From within the Inbox, click Tools / Rules Wizard/New.

  3. Select Check messages when they arrive / click Next.

  4. Scroll to find the condition, suspected to be junk e-mail or from Junk Senders List / check the box next to it and next to Adult content / click Next.

  5. Check the box next to delete it.

  6. Click Next until you Finish.

Don't forget to continue to build your Junk Senders List every time you get an unwanted e-mail. Just right-click on it in your Inbox, and add it to the list (see November issue).


*If you're running a business using AOL, you're missing out on so much functionality. You won't be able to use Outlook (the smart choice) and all its powerful, timesaving features. AOL has decided that it won't make its software compatible with Outlook because not enough of their users had requested it.

I sent AOL an E-mail recently to let them know that their users haven't demanded Outlook compatibility because they don't yet know what they're missing. For example: If you're using AOL, you were not able tothis zine the way everyone else could because AOL can't handle HTML files. You probably had to paste the link inside Internet Explorer and go from there.

When you copy text from an e-mail message, it may need some cleaning up before you can use it. For example, it may have lots of >, ^, and also unwanted paragraph marks at the end of each line that you'll need to get rid of. 

Here are the steps you'd use. (If you rarely use text from e-mails, you'll think of many other ways to use the Find/Replace feature.)

  1. Copy the text from an e-mail message / Paste into Word.

We'll first get rid of all the >.

  1. Press Ctrl+H.

  2. In the Find what box, type > (or >> if you have them).

  3. In the Replace with box, leave it blank (to replace > with nothing).

  4. Click Replace All / leave Find and Replace dialog box

And/or you may have lots of  ^.

  1. Type ^ in the Find what box and Replace All / leave Find and Replace dialog box

You might also have to get rid of all the extra paragraph marks that may be at the end of each line. (These instructions will also remove the blank spaces you now have at the beginning or end of each line in the text.)

  1. Select only the text you want to change because all your paragraph marks will be removed.

  2. Repeat the steps above, but type ^p in the Find what box and Replace All. (You're finding all paragraph marks and replacing them with nothing.)

  3. Click No to checking the remainder of your document.

If you decide not to remove the extra paragraph marks, but need to remove the blank spaces at the beginning and/or end of each line in the text (that occurred when you removed all the >).

  1. Select the text you pasted (or press Ctrl+A to select the entire document).

  2. Press Ctrl+E to center the selected text / then press Ctrl+L to re-left-align it. All extra spaces will be gone.

If you do this a lot, you'll want to record a macro so you can execute the steps above with one click of a toolbar button or a keyboard shortcut that you create!

Experts say that 80% of business is marketing so you can't ever not do it. Unfortunately, a lot of business owners think that putting an ad in the phone book or newspaper is all there is to it. 

If you haven't done so already, you should develop a solid marketing plan. Figure out what you want to be known for, who your target market is, and the best way to reach them without going broke. My favorite book that's loaded with ideas on how to market your business on a shoestring is 101 Ways to Promote Yourself by Raleigh Pinskey. Her ideas are simple and affordable.

Knowing precisely what you should do will then help you prioritize your time. To create more time for marketing without turning down business, you'll have to look at every aspect of how you spend your time and compare that with your goals. If you eliminate time and money wasters and organize, streamline, and automate every aspect of your life (based on your goals and values), you should be OK. 

If after all this, you still feel you need more time, think about hiring someone part-time to help you do things that are not your core business. 

Also evaluate your fees. A lot of times you can charge more, which may lead to fewer clients, but make more money.
