Reduce junk e-mail

Filtering out junk e-mail before you get it. Using Outlook for e-mail is the smart choice, especially if you're running a business.* These are tips for Outlook® 98 or higher (full version), and you must have Outlook set up to handle your e-mail already. Similar features are also available in Outlook Express.

  1. From within the Inbox, click Tools/ Organize.

  2. Click Junk E-mail to turn feature on (you won't see this if Outlook isn't set up to handle your e-mail).

Now that the Junk E-mail feature is turned on, when junk e-mail comes into your Inbox:

  1. Right-click on it, and point the mouse to Junk E-mail.

  2. Click Add to Junk Senders List.

Before you delete the junk message from your Inbox, create a rule that says anything from that address should automatically go to the Deleted Items folder (you'll never see it!).

  1. Click once on the message you want to create a rule for.

  2. Click Tools / Organize.

  3. Click the Create a rule drop-down box that's next to "into."

  4. Click Other Folder / double-click the Deleted Items folder.

Oops! To delete someone from the Junk Senders List you added by mistake:

  1. From within the Inbox, click Tools/Organize/Junk E-mail.

  2.  At the bottom of the resulting dialog box, click to see more options (see light gray text).

  3. Click Edit Junk Senders.

  4. Delete the desired E-Mail address.

To stop the jokes and other junk that your friends/co-workers send:

  1. Send them an e-mail asking them to STOP. Be firm! You can say something like:

    I appreciate your thinking about me, but in an effort to streamline the many E-mails I receive, I regretfully have to ask that you remove my name from the distribution list you’re using for this type of info. Thanks and have a great day!

*If you're running a business using AOL, you're missing out on so much functionality. You won't be able to use Outlook and all its powerful, timesaving features. AOL has decided that it won't make its software compatible with Outlook because not enough of their users had requested it.

I sent AOL an E-mail recently to let them know that their users haven't demanded Outlook compatibility because they don't yet know what they're missing. For example: If you're using AOL, you were not able tothis zine the way everyone else could because AOL can't handle HTML files. You probably had to paste the link inside Internet Explorer and go from there. To let AOL know what you think, click here.

In deciding what to keep and what to throw out, always ask yourself the following:

Selecting text in Word

§   To select a word, double-click it or click once inside of it.

§   To select a sentence, hold down CTRL while you click anywhere inside of it.

§   To select a paragraph, triple-click anywhere inside of it.

Stopping automatic capitalization of first letter in a sentence (Word)

§   Click Tools / AutoCorrect/on the AutoCorrect tab, uncheck the Capitalize first letter of sentences checkbox.

Changing your default font size to 12 once and for all (Word)

§   Click  Format / Font / change size to 12/click Default (bottom left-hand corner of dialog box) /  Yes to making the change.

§     Have I referred to this in the last six months to a year? Approximately 80 percent of paperwork we insist on keeping just in case is never referred to again.  

§     Do I have to keep this for legal or tax reasons?  You should check with your tax attorney, CPA, or the IRS. If you run a larger company, also check with your secretary of state to get some basic records retention schedules.

§     Can I get this information somewhere else if by some remote chance I need it later? Who created this document? Is she/he required to keep copies? Is the information on the Internet?

§    Can I live with the consequences of having thrown it out if by some miracle I need it again?
