Conquer Email Overload with Better Habits, Etiquette, and Outlook Tips and Tricks [PSC Press September 2004] was written by a time management and Outlook expert who actually sits with clients teaching them how to manage their email. Peggy Duncan’s book is packed with tips and strategies taken from these sessions and from the most frequently asked questions during her seminars. It’s written specifically for busy people who are already using Outlook (97-2002) and have hundreds or thousands of messages in their Inbox. (Reference to Outlook 2003 is made throughout the book, but we have not thoroughly explored this version. This book will work with 2003, but the screen captures and instructions may vary slightly.)

Reduce Stress from Email Overload E-mail Overload
An overflowing Inbox represents unfinished work, more demands on your time, missed deadlines, and broken promises. In a national study by the Australian Psychological Society, sixty-nine per cent of people found having to deal with a daily avalanche of email is mildly or moderately stressful (November 10, 2003, Sydney Morning Herald). However, Duncan asserts that it’s not the new messages coming in that are the problem, but rather the mess that’s already there.

Empty Your Inbox
With better email habits and powerful, little-known Outlook tips and tricks, you can empty your Inbox and reduce the stress it causes. You will soon realize that email does not have to be a burden, but is instead a communication tool built to maximize your productivity.

You'll need to set up a meeting with your Inbox and customize Outlook's built-in features to fit how you work. Then you have to spend the necessary time to eliminate the pile up, with the goal of only using the Inbox for temporary storage. You should always be able to see the last message in your Inbox without scrolling.

Get Organized Outside of Outlook. If you want to do a better job managing your time, Outlook will help, but you must get organized. To find answers fast and respond to messages quickly, you will first learn how to organize your paper files and computer files using expert tips Peggy has used with her clients for years.

Get Organized Inside of Outlook. Next, you'll turbo-charge Outlook, and set it up to work the way you do. You'll organize your Inbox, your Contacts, Calendar, and Tasks. Then, you'll take advantage of lots of other powerful, little-known tips and tricks in Outlook and product add-ins that have been developed to save you time.

Improve Your Image. To improve your business image, we'll discuss proper email format and composition, but not spend time teaching you how to write (you will have no problem finding books on this topic).

Stay Out of Trouble. Companies must take the necessary steps to minimize their risk from system abuse with a good email policy (samples inside).

"You'd be proud of me. I'm not an A student yet, but I'm far from failing. I stayed late one night and threw out all my predecessor's junk. And set up a working system. And did it help. I found stuff I had misplaced. And when fact checking called me for information, I knew exactly where to go to get it. I felt good.
Sonia Alleyne, Careers Editor
